If you're a small medical practice trying to figure out where to even begin with compliance… you’re not alone.
Between HIPAA, billing audits, OSHA, training requirements, and everything else, it's easy to feel buried before you even start.
That’s exactly why we created our ProCode Compliance Membership—to give small practices a realistic, affordable, and guided path toward building and maintaining a strong compliance program.
Below is a simple 8-step process we recommend to all new members. Each step comes with tools, templates, and support included free inside your membership.
You don’t need to be an expert. You just need a place to start.
🧭 Step-by-Step: Your Compliance Journey Starts Here
We'll include a flowchart to illustrate these, but here's how it works in plain language:
Step 1: Join the Membership
Your first move is simple—purchase your annual membership. For a fraction of what you'd pay a consultant or attorney, you unlock a year’s worth of done-for-you tools, sample documents, and staff engagement resources.
Step 2: Choose Your Compliance Contact
Every practice needs someone to be the point person. Whether it’s your office manager, administrator, or even you as the provider—pick someone who will take ownership of implementing your compliance steps (with support, of course).
Step 3: Take the Intro to Compliance Program (Free)
Inside your member portal, you’ll find our Intro to Compliance Program/Understanding the 7 Foundational Elements—a free course for members that breaks down what a compliance program is and why it matters. It’s quick, clear, and a great way to get your bearings. Even comes with a printable workbook!
Step 4: Download Your Plan & Policies
Next, head to the Membership File Share and download the Sample Compliance Plan, Sample Policies, and Sample Forms. These are free for members and are your foundation.
Step 5: Draft Your Compliance Plan
Using our templates and samples, create your first draft. Don’t worry about perfection—just get a plan in place. Once you do a formal risk assessment (Step 6), you’ll know what else needs to be added. Tip: It's critical to have your attorney review the plan before rollout.
Step 6: Complete a Risk Assessment
Risk assessment is the heart of a strong program. We can help—members receive discounted risk assessments through ProCode. Simply schedule your audit and once complete, you’ll know exactly what areas need attention and what policies to add to your program based on your specific needs and risk areas.
Step 7: Build Your Workplan
Based on your risk findings and the OIG’s Annual Workplan (linked in your member resources), you’ll build a workplan to guide your compliance risk areas throughout the year. This helps turn your plan into an active, trackable system. We have workplan templates in the membership too! (free)
Step 8: Engage Your Team
Now, it’s time to bring your staff in. Inside the membership fileshare section, download this month’s Team Empowerment Flyer and our popular Compliance Bingo Game—free for members. Then, grab this month’s Meeting Agenda Template and schedule your first compliance team meeting and make sure the whole staff attends.
Pro tip: If it were my practice, I might offer a prize like a free lunch or gift card for the bingo winner.
Implementing a compliance program can sometimes feel like “just one more thing” to an already busy staff. That’s why I’d also lean into the leadership and inspiration microlearning tools included in the membership—to help my team understand that this isn’t just about checking boxes.
It’s about building a stronger, safer, and more empowered workplace—for them, too. I want my staff to see compliance as a path to personal growth, not just practice management. If I can engage them as leaders in the process, everyone wins.

🏁 Your 8-Step Jumpstart Plan
These eight steps are the exact roadmap we recommend to small practices that feel stuck, confused, or overwhelmed by the endless sea of compliance information out there.
You can complete all 8 steps at your own pace—but we encourage you to set a timeline with clear deadlines so your team can move forward confidently without feeling overwhelmed.
💡 Why the Membership Pays for Itself—Fast
The tools, templates, training, and support you receive in just these first 8 steps would cost hundreds—if not thousands—if you tried to outsource or build from scratch.
But with your annual membership, you get all of this—and 12 months of additional resources to keep your program running strong.
✅ New monthly meeting agendas and resources
